In addition to all the programs directly organized by the Caltech Y, there is a full range of resources available through the Y for those interested in planning events themselves. Visit some of the other pages in this section or stop by the Y to learn how we can help make your idea a reality.
Caltech Y staff are available to provide advising for any clubs, organizations, or students interested in planning events for the Caltech community. From the inception of an idea to coordinating the logistics, Y staff can make planners aware of campus and local resources, procedures, and funding. Just stop by the Y any time you have a program to plan.
The Caltech Y has two rooms available for reservation for meetings or small programs. Each room has access to a restroom. Both rooms also have dry erase boards. To make a reservation, contact the Caltech Y at ext. 6163. Reservation Periods begin:
The Wes Hershey Lounge is ideal for small groups (15 - 20). It is furnished with couches and chairs and has a TV and VCR/DVD
The Frank Dryden Multi-Purpose Room is a larger space that is more versatile for a variety of functions. It is furnished with stackable chairs and folding tables, and is suitable for groups up to 50. It also has an overhead video projector and pull-down video screen.
Numerous funding sources exist to acquire the necessary funds to plan a program. Pay close attention to the criteria, dates, and expectations of the funding bodies as this may impact your funding prospects.
The Caltech Y disseminates funds to programmers through the Y ExComm. Those submitting applications for co-sponsorship are encouraged to carefully read the form, especially the criteria, and utilize the advise of the staff when preparing their submission.
Co-Sponsorship Applications are available here in PDF form or from the Caltech Y office. Completed applications should be submitted at least two to three weeks prior to the event, and one of the planners will be asked to present and respond to questions at an ExComm meeting.
Funds may also be sought from campus departments and other funding sources. Caltech Y staff are available to advise you on seeking funding, feel free to pay us a visit.
